Terms of Service

The short version

  • We turn a photo of you into an image formatted to a document's published specification. $9 per photo, paid before you get the clean file.
  • We cannot promise any authority will accept it.Nobody can. Many authorities restrict digitally altered or AI-generated photos — check your document's rules before you rely on ours.
  • The photo you upload must be of you, or of a child you are responsible for, or of someone who has agreed to it.
  • If the file we deliver is broken or plainly not what you ordered, tell us and we refund it.

1. The agreement

These terms form a contract between you and Andrei Filippov, a sole trader established in Portugal, operating the service at https://getphotodoc.com("PhotoDoc", "we", "us"). By uploading a photo you accept them. If you do not, do not use the service.

How we handle your photo and other personal data is set out in our Privacy Policy, which forms part of this agreement.

2. Who can use PhotoDoc

You must be at least 16 years old. If you are ordering a photo of a child, you must be that child's parent or legal guardian.

PhotoDoc is not offered to residents of the State of Illinois, USA. If you are an Illinois resident, please do not use the service.

3. What the service does — and what it does not promise

You upload a photograph. We edit it — clothing, background, lighting, framing — and crop it to the published specification of the document type you selected. We deliver a print-ready digital file with a compliance overlay showing the measured geometry, plus the clean file itself. We do not print or post anything.

No guarantee of acceptance. Whether an office, embassy or agency accepts a photograph is entirely their decision. They may apply rules that are unwritten, inconsistently enforced, or newer than our specifications. Crucially, a number of authorities — including for biometric documents such as passports and residence permits — restrict or prohibit photographs that have been digitally retouched or generated with AI. Our output is AI-edited.

It is your responsibility to check the rules that apply to your document and to decide whether an edited photograph is permitted. We format to specification; we do not certify compliance and we do not guarantee approval. A rejection by an authority is not a defect in our service and is not grounds for a refund under section 8.

The service is automated and uses AI models. Results vary with the quality of what you upload. We may reject an upload that our checks find unusable — for example no detectable face, heavy shadow, or extreme head angle — and in that case you are not charged.

4. Your responsibility

By uploading a photo you confirm that:

  • it shows you, a child in your legal care, or a person who has agreed to you using their photograph this way;
  • you have the right to upload it, and it does not infringe anyone's rights;
  • you consent to the processing described in the Privacy Policy, including the processing of biometric data;
  • you will check the resulting photograph before submitting it anywhere, and decide for yourself whether it is suitable and permitted.

5. Your photo stays yours

You keep every right you have in the photo you upload and in the result. You grant us a limited licence to store, process and modify your photo purely to produce your order and to provide support — nothing else, and only for as long as the retention periods in the Privacy Policy allow.

We will not use your photo, before or after editing, in marketing, examples or public before-and-after material unless you separately and expressly agree. We do not use your photo to train AI models, and our providers do not either.

The website, its design, and the software behind the service remain ours.

6. Acceptable use

You must not:

  • upload a photo of someone who has not agreed to it, or use the service to create images of a person for any purpose they have not agreed to;
  • use PhotoDoc to help create a false, forged or fraudulent identity document, or to misrepresent who you are;
  • upload unlawful content, or content that is not a photograph of a person;
  • attempt to bypass payment, defeat the bot protection, script or automate access, resell the service, or otherwise abuse the free preview;
  • copy, reverse-engineer or scrape the site or the pipeline behind it.

We may refuse or stop service, and cancel an order, if we reasonably believe this section is being broken.

7. Price and payment

A photo costs $9. You see a watermarked preview of the result before you pay; payment unlocks the clean, full-resolution file, which we email to the address you give us.

Payments are processed by Stripe, which acts as merchant of record and is responsible for collecting any applicable sales tax or VAT. Prices are shown in US dollars; your bank may apply conversion charges we do not control. We never receive your card details.

8. Refunds and right of withdrawal

The service is digital content, produced and delivered immediately on payment. At checkout you ask us to begin at once and acknowledge that you thereby lose the 14-day right of withdrawal that EU consumer law would otherwise give you for digital content (Article 16(m), Directive 2011/83/EU).

We refund in full when the service failed: the file never arrived, the file is corrupt or unusable, we charged you twice, or what we delivered is not the document format you selected. Write to [email protected] within 14 days of purchase and we will fix it or refund you.

We do not refund because you dislike the result, changed your mind, or an authority rejected the photograph — see section 3. Your statutory rights as a consumer, which we cannot exclude, are unaffected.

9. Availability

We provide the service "as is" and "as available". It is a young product run by one person: it may be unavailable, slow, or interrupted for maintenance, and we may change or discontinue features. We do not promise uninterrupted operation or that the service is free of errors.

10. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law. Consumer rights that apply to you under the law of your country of residence are not affected.

Subject to that, our total liability arising out of or in connection with the service is limited to the amount you paid us for the order concerned. We are not liable for indirect or consequential loss, including missed appointments, travel costs, expedition or reprint fees, visa or application fees, or losses caused by an authority rejecting a photograph.

You agree to cover our reasonable losses if a claim is brought against us because you uploaded a photograph you had no right to use, or used the service in breach of section 6.

11. Changes and termination

We may update these terms; the effective date at the top will change and the new version applies to orders placed after it. If a change is significant we will make it visible on the site. You may stop using the service at any time, and ask us to delete your data as described in the Privacy Policy.

12. Governing law and disputes

These terms are governed by the law of Portugal. If you are a consumer resident in the EU, you also enjoy the protection of the mandatory consumer rules of your own country, and you may bring proceedings in the courts there.
